This policy is a launch-ready operational draft based on ContractForge's planned website and data practices. It should be reviewed by Florida counsel before or shortly after commercial launch and updated whenever actual practices change.
1. Scope
This Privacy Policy explains how ContractForge collects, uses, stores, and discloses information through its public website and initial business-contact process. Separate engagement terms may apply once a company becomes a client and provides proposal, procurement, employee, pricing, or other business materials.
2. Information we collect
Through the public contact form, we may collect your name, company name, business email address, phone number, company website, Florida city or county, a description of your company's work, information about whether you currently pursue government contracts, whether you have a specific solicitation, and the message you choose to provide.
Our web server may also process ordinary technical information needed to operate and secure the website, such as request timestamps, IP addresses, browser/user-agent data, and security logs. We aim to retain only what is reasonably necessary for operations and security.
3. Information you should not send through the public form
Do not submit Social Security numbers, banking credentials, payment-card data, government portal passwords, personal tax records, private medical information, classified information, export-controlled information, or other highly sensitive material through the public contact form.
4. How we use information
- Respond to your inquiry and evaluate whether ContractForge services may fit your needs.
- Follow up about a solicitation, proposal request, opportunity-monitoring request, or related service.
- Create an internal lead or client record when appropriate.
- Protect the website, prevent abuse, troubleshoot problems, and maintain business records.
- Comply with legal obligations and enforce agreements.
5. AI-assisted processing
ContractForge may use controlled software and AI-assisted tools to help classify inquiries, summarize procurement information, identify missing information, and support proposal workflows. Public website content and client-provided material are treated as data, not as instructions that can alter system permissions or security rules. Sensitive data should not be provided through the public intake form.
6. Cookies and analytics
The initial website is designed to operate without advertising cookies or third-party behavioral tracking. If analytics, advertising, chat, scheduling, or other third-party tools are added later, this policy will be updated to describe the information those services process and any choices available to visitors.
7. Service providers
ContractForge may use hosting, email, document-storage, security, accounting, e-signature, and other business service providers. Those providers may process information on our behalf as needed to provide their services. We do not authorize service providers to use client information for unrelated purposes merely because they support our operations.
8. Disclosure
We may disclose information to service providers supporting ContractForge, to professional advisers such as attorneys or accountants when appropriate, when required by law or legal process, to protect rights or security, or as part of a legitimate business transaction such as a merger or sale. ContractForge does not sell public contact-form information as a data-broker product.
9. Client documents and confidentiality
Proposal engagements may involve company capabilities, personnel information, past performance, pricing, certifications, technical approaches, and other confidential business material. Such information should be handled through the designated client-engagement workflow rather than the general public contact form. Access, retention, and confidentiality may also be governed by the applicable Master Services Agreement, Statement of Work, NDA, or data terms.
10. Retention
We retain public inquiries and related business records only as long as reasonably needed for lead follow-up, service delivery, recordkeeping, dispute prevention, security, legal compliance, or other legitimate business purposes. Retention periods may differ for active clients, declined inquiries, security logs, accounting records, and legally required records. When information is no longer needed, we may delete, de-identify, or archive it as appropriate.
11. Security
ContractForge uses administrative and technical safeguards designed to reduce unauthorized access, alteration, disclosure, or loss. No internet service can guarantee absolute security. Visitors should avoid sending sensitive credentials or regulated data through the public website.
12. Your requests
You may contact ContractForge to ask about personal information associated with your inquiry, request a correction, request deletion where appropriate, or raise a privacy concern. Certain information may need to be retained for legal, security, contractual, or recordkeeping reasons.
13. Marketing communications
If ContractForge sends commercial email, it will use truthful sender and subject information and will honor applicable opt-out requirements. A request to stop marketing communications does not prevent necessary transactional or service communications related to an active engagement.
14. Children
ContractForge provides business-to-business services and the website is not directed to children. We do not knowingly seek personal information from children through the public intake process.
15. Florida and other privacy laws
Privacy-law obligations can depend on a company's size, revenue, business model, data practices, and the people whose information it processes. ContractForge does not represent in this policy that every provision of every privacy statute applies to it. The company will review applicable requirements as its operations change.
16. Changes to this policy
We may update this policy as our services, technology, vendors, or legal obligations change. The “Last updated” date will show when the policy was revised.
17. Contact
Until a dedicated privacy email is published, privacy requests may be submitted through the website contact form with “Privacy request” in the message. A dedicated business email address will replace this method when configured.
